Why small businesses miss calls
Small businesses miss calls for ordinary reasons, not careless ones. The person who would answer is doing the work that pays, and the phone rings at exactly the moments they cannot pick up. Most businesses recognise all five of these.
- On a job. A plumber under a sink, a cleaner in a client's home, an electrician on a ladder. Picking up is unsafe or impossible.
- With a customer. A stylist mid-cut, a dentist with a patient, a lawyer in a consultation. Answering would mean walking out on the person in front of you.
- After hours. Evenings, weekends and holidays, when many customers finally have time to call. See After-hours call answering.
- Lunch and the gaps. The half hour when the office is empty, the school run, the drive between jobs.
- Several calls at once. One line, one person, and a second caller who hears an engaged tone and gives up.
None of these will change; the work comes first, and it should. The fix is to make sure the phone is answered anyway.
What does a missed call cost?
In plain terms, a missed call costs you whatever the caller would have bought if you had answered, multiplied by the chance they book with someone else instead of calling back. For a new customer with an urgent problem, that chance is high: they are calling down a list, and the first business that answers usually gets the job. For an existing customer it is lower, but a missed call still costs a call-back, a delay and a little goodwill.
Rather than quote figures that may not match your business, estimate it with your own numbers: how many calls you miss in a typical week, what an average job or appointment is worth, and how many of those callers you think would have booked. Every Frontivo.io industry page includes an ROI calculator built for this; the plumbers, dental offices and law firms pages are good places to start.
Five fixes, from cheapest to most complete
Each of these helps. They are ranked by how much of the problem they solve, and the cheaper ones are worth doing even if you later add the more complete ones.

| Fix | What it does | Answers the call? | Books appointments? | Typical cost |
|---|---|---|---|---|
| Voicemail greeting | Tells the caller what to do and when you will call back | No | No | Free |
| Missed-call text-back | Texts the caller automatically so the conversation continues | No, but replies within seconds | Only if the text leads to one | Low; included with Frontivo.io phone plans |
| Call forwarding to a mobile | Sends calls to whoever is carrying the phone | If they can pick up | If they have the calendar open | Usually included with your phone line |
| Answering service | Live operators answer and take messages | Yes, during their hours | Sometimes, via a booking link | Monthly base plus per minute or per call |
| AI receptionist | Software answers, informs, qualifies, books and hands off | Yes, several at once, at any hour | Yes, on your real calendar | Flat monthly plan |
Fixes 1 and 2: a better voicemail greeting and missed-call text-back
A voicemail greeting is the cheapest fix and the least effective, because it still relies on the caller waiting, leaving a message and not booking someone else in the meantime. It is still worth getting right.
- Say that you are on a job or with a customer, not just unavailable. People forgive a busy business more readily than a silent one.
- Say when you call back, and keep to it.
- Give a second route: a text number, a booking page or a chat link. See AI receptionist vs voicemail for why voicemail alone loses callers.
Missed-call text-back is the first fix that actually reaches the caller. When a call goes unanswered, the caller gets a text within seconds asking what they need, and many people who would never leave a voicemail will answer a text. Frontivo.io includes it with Phone Only, Starter and Growth. On Starter and Growth its AI carries on the text conversation, answers questions and books from there; on Phone Only, a reply to that text comes to you as an alert so you can answer from your own phone. See text messaging. Outside the US and Canada, SMS uses more of your allowance, and WhatsApp is often the better channel.
Fixes 3 and 4: forwarding to a mobile and an answering service
Forwarding to a mobile moves the problem rather than solving it. The call now rings in the van or the salon, where the same reasons for not answering apply, and whoever picks up is booking a job from memory while doing something else. It suits a solo owner with light call volume, and most phone lines include it, so it is a reasonable interim step.
A human answering service is the first fix that reliably answers. Live operators pick up in your business's name, take a message and page you for urgent calls. The limits are structural: operators work from a script, often book only through a separate scheduling tool, and bill by the minute or the call, so cost rises with exactly the busy days you most need covered. For businesses that want a human voice under their brand it remains a fair choice; the trade-offs are in AI receptionist vs answering service.
Fix 5: an AI receptionist
An AI receptionist is the most complete fix because it removes every cause on the list at once. It answers on the first ring whether you are on a job, with a customer, at lunch or asleep. It answers several calls at the same time within your plan allowance, so a second caller is not left on an engaged tone. And it does the front-desk job, not just the answering.
- Answers questions about prices, hours, services and service area from your own knowledge base, and says so when it doesn't know.
- Qualifies the caller: what they need, how urgent it is, where they are, and their contact details, saved as a lead every time.
- Books the appointment on your real calendar, in your time zone, offering only times that are genuinely open. See appointment booking.
- Hands off when a caller asks for a person or your escalation rules match: a live transfer to your team, or a detailed message and an instant alert. See human handoff.
- Records everything: a transcript and a short AI summary of every conversation in the inbox, on every plan, and covers website chat, text and (on Growth) WhatsApp, Instagram, Messenger and email with the same knowledge and calendar.
With Frontivo.io, you keep your existing number and forward it to a local number it provides where available, connected after you subscribe (in the US, Canada, Puerto Rico and a few other countries it is connected in seconds; most other countries, including the UK, Australia, Germany and the Philippines, need business documents first, which takes 1-3 business days; in some countries you confirm a monthly local-number fee on the card first; and where no local number is offered you get a US (+1) number in seconds). Plans start at $199 a month for the phone alone, $299 for phone, chat and text, and $549 for all 7 channels including messaging apps and email (Growth; opens soon, reserve it at no charge); see pricing. The setup is in How to set up an AI receptionist, and the wider case in AI receptionist benefits.
How to measure the improvement
Whatever fix you choose, measure it, or you will never know whether it paid for itself. The simplest method is to count for two weeks before the change and two weeks after.
- 1Count missed calls now. Your phone's call log or your provider's portal shows unanswered calls. Note how many, and roughly when: during jobs, at lunch, after hours.
- 2Count bookings and new leads now, per week: appointments made and enquiries that turned into a name and a number.
- 3Make the change and wait two weeks, so callers have time to notice that the phone is answered.
- 4Read the inbox. With Frontivo.io, every conversation on every channel is in one inbox with a transcript and summary, so you can see which calls were answered, what was asked and what was booked, including bookings made outside your working hours. See inbox takeover and summaries.
- 5On Growth, open the analytics dashboard for calls, conversations and bookings by hour, day and channel, with CSV export, including booked revenue by channel so you can see which channels lead to booked work.
If the after-hours bookings and the leads you never used to capture cover the monthly cost, the fix has paid for itself; if not, the same numbers tell you which plan size or channel to change.
Where to start
Do the free things today: fix your voicemail greeting and forward your line if that helps. Then decide whether you want to reduce the damage of missed calls or remove the cause. If it is the latter, an AI receptionist is the most complete option, and the quickest way to judge it is to hear one.
Frontivo.io's own receptionist answers the live demo, and the 14-day free trial needs no card. For help choosing a plan, read AI receptionist for small business or contact sales.
