Why does voicemail lose customers?
Because it hands the work to the caller at the exact moment they wanted help. Someone with a burst pipe, a toothache or a question about your opening hours called because they wanted an answer now. Voicemail offers a beep and a promise. Many callers hang up without leaving a message and call the next business on the list, and you never know they called.
Even when a caller does leave a message, the problem is only half solved. You have to listen to it, work out what they need, call back, and hope they pick up; by then they may already have booked elsewhere. New customers have no reason to wait for you: they have no relationship with you yet, and other options are one search away. Existing customers will often leave a message; the ones you are trying to win usually will not.
The guide on missed calls in small business goes deeper into what a missed call costs. The short version is that voicemail is not free; it just bills you in lost jobs.
What does an AI receptionist do instead?
It answers. Instead of a recording, the caller reaches a receptionist that talks with them in a natural voice and handles the call there and then. With Frontivo.io, that means:
- Answering questions about hours, prices, services, service area and policies from your own knowledge base, in the caller's language.
- Booking appointments on your real calendar (built-in, Google or Outlook), offering only open times and confirming the details.
- Capturing the lead with name, contact details, what they need, when and how urgent, saved with a transcript in your inbox.
- Handing off to a person when the caller asks or your escalation rules match: a live transfer to your team, or a detailed message and instant alert.
- Doing it at any hour, for many callers at once within your plan allowance, with no busy signal and no hold.
The difference for the caller is that they got what they called for. The difference for you is that a job, a booking or a qualified lead is waiting in your inbox with a summary, instead of a voicemail you have to decode. Missed-call text-back: the middle step
Missed-call text-back is a simple automation: when a call to your business goes unanswered, the caller immediately receives a text such as "Sorry we missed you, how can we help?" and the conversation continues by message. It works because replying to a text is easier than leaving a voicemail, and because it reaches the caller before they finish dialling the next number.
On its own it is a clear step up from voicemail and a good first move for a business not ready for a full receptionist. On Frontivo.io it comes with Phone Only, Starter and Growth. On Starter and Growth the AI answers the replies, so a caller who texts back "Do you do emergency callouts?" gets an answer and can book, not just an acknowledgement; on Phone Only, a reply comes to you as an alert so you can answer from your own phone. Because the AI answers the call in the first place, text-back is the safety net for the rare call that is missed rather than the main line of defence. See text messaging.
Voicemail vs AI receptionist side by side

| Books appointments | No | By message, if connected to a calendar | Yes, on your real calendar |
| Captures the lead | Only if the caller leaves a message | Yes, once they reply | Yes, with qualifying details |
| Availability | Always, but passive | Always | Always, and active |
| Simultaneous callers | Many, none helped | Many | Many, answered within your plan allowance |

| Cost | Usually free with your phone service | Included on Frontivo.io phone plans | Flat monthly fee from $199 |
What does each option cost?
Voicemail usually comes free with your phone line, which is why it is the default. Its real cost is the calls it loses: every new customer who hangs up and books elsewhere, and every hour spent returning calls that could have been handled on the spot.
An AI receptionist is a flat monthly subscription. Frontivo.io's Phone Only plan is $199 per month with 300 AI voice minutes (about 100 calls), live call transfer and missed-call text-back included; the all-in-one plans that add website chat, text and messaging apps run from $299 (Starter) to $549 (Growth; opens soon, reserve it at no charge). There is no setup fee and no contract, and overage is charged at published rates. If one won job or booking is worth more than the plan, the receptionist pays for itself on the first call voicemail would have lost. The cost guide explains how to pick a plan from your call volume, and the pricing page has the current details.
What should you keep voicemail for?
Voicemail is not useless; it is just the wrong front door. It still makes sense for:
- Personal direct lines. A mobile that only colleagues and existing clients call can keep voicemail; those callers will leave a message.
- Private messages. Some callers prefer to leave a personal message for a specific person rather than talk to anyone else. An AI receptionist can take a message for that person, but a direct voicemail box is a fine alternative.
- A last-resort fallback. Behind everything else, if a call cannot be answered or forwarded for any reason, a voicemail greeting that gives your website and text number is better than silence.
- Internal lines. Numbers customers never call, such as a warehouse or back office, do not need a receptionist.
For your main business number, the one on your website, your listings and your van, the question is only whether you want callers answered or recorded.
How to switch from voicemail without losing calls
Moving from voicemail to an AI receptionist takes less time than it sounds, and you can do it in stages.
- 1Write down what callers ask. Your services, prices, hours, service area and the questions you answer every week become the knowledge base. See train your AI.
- 2Test it in the browser. Frontivo.io's Channel Tester lets you call and chat with your AI before any customer does; the 14-day free trial needs no card.
- 3Connect your calendar so bookings land in the right place: built-in, Google Calendar or Outlook Calendar. See appointments and Google Calendar.
- 4Forward your number. After you subscribe, Frontivo.io connects a local number in your country where available (in the US, Canada, Puerto Rico and a few other countries it is connected in seconds; most other countries, including the UK, Australia, Germany and the Philippines, need business documents first, which takes 1-3 business days; in some countries you confirm a monthly local-number fee on the card first; and where no local number is offered you get a US (+1) number in seconds). Start by forwarding only unanswered and after-hours calls if you like, then move to all calls when you are comfortable. See your Frontivo.io phone number.
- 5Set your handoff rules. Decide when the AI should transfer or take a message, and who gets the alert. See human handoff.
- 6Read the summaries. For the first week, skim every transcript in the inbox and fill any knowledge gaps the AI flags. After that, the receptionist mostly runs itself.
