How do AI receptionists work?

8 min readBy the Frontivo.io team

An AI receptionist works as a chain of steps that run in a few seconds: the call or message reaches the software, speech recognition turns voice into text, the system looks up the relevant facts in the business's own knowledge base, a language model writes the reply, and text-to-speech reads it aloud. Along the way it can book an appointment on the real calendar, save the caller as a lead, transfer to a person, and leave a transcript and summary in the inbox.

The pipeline at a glance

Every call an AI receptionist answers goes through the same chain of steps, and each step is simple on its own. Here is the journey from ring to written summary, using Frontivo.io as the example; the rest of the article explains each step in plain words.

  1. 1The call arrives. Your business line forwards to a number the AI receptionist answers, so software picks up instead of voicemail.
  2. 2Speech becomes text. A speech recognition engine turns what the caller says into text as they speak.
  3. 3The facts are looked up. The system searches your knowledge base (services, prices, hours, policies, FAQs) for the pieces that match the question.
  4. 4The reply is written. A language model reads the conversation so far plus those facts and composes the next thing to say, or decides to book, transfer or take a message.
  5. 5Text becomes speech. A text-to-speech voice reads the reply aloud, and the loop repeats for the caller's next sentence. On its own, this phone loop is what vendors call an AI voice agent.
  6. 6The record is saved. When the call ends, the transcript, a short AI summary, the lead details and any booking land in your inbox.

How does the call reach the AI receptionist?

Through ordinary call forwarding. The provider gives you a phone number, and you set your existing business line to forward to it, either every call, or only when you don't answer or after hours. Customers keep calling the number they already know.

With Frontivo.io, the number is a local one in your country where available, connected after you subscribe (in the US, Canada, Puerto Rico and a few other countries it is connected in seconds; most other countries, including the UK, Australia, Germany and the Philippines, need business documents first, which takes 1-3 business days; in some countries you confirm a monthly local-number fee on the card first; and where no local number is offered you get a US (+1) number in seconds). Because software answers, it takes many calls at the same time within your plan allowance, so callers don't hit a busy signal during a rush. If a call is missed, missed-call text-back texts the caller straight away (once texting is approved for your number). See connecting your phone number and the AI phone receptionist page.

How does it understand the caller and find the answer?

Four pieces of technology work together on every sentence. The table puts each one in plain words.

StageWhat it doesA plain comparison
Speech recognitionTurns the caller's voice into text as they speak, coping with accents, pauses and background noiseA fast typist taking down every word
Retrieval (RAG)Searches your knowledge base for the facts that match the question and hands only those to the modelA librarian pulling the right page before answering
Language modelReads the conversation so far and the retrieved facts, then writes the next reply or chooses an action (ask, book, transfer)The receptionist deciding what to say
Text-to-speechReads the reply aloud in a natural voice, in real timeThe receptionist speaking

Retrieval-augmented generation, or RAG, is the piece worth understanding. A language model on its own is good at language but knows nothing about your business. Retrieval fixes that: before the model answers, the system finds the relevant lines from your own information, such as your price list or your cancellation policy, and puts them in front of the model. The model writes its answer from those lines. In other words, the AI receptionist does not answer from general knowledge; it answers from what you wrote down.

Because retrieval works on meaning rather than exact words, Frontivo.io can reply in the customer's language (most languages in chat and text, 30+ on phone calls). Two receptionist voices are included, one female and one male: name them, add a photo and greeting, and pick one for calls; see receptionist voices.

What does "training" an AI receptionist really mean?

For a modern AI receptionist, training means giving it information, not teaching a model over weeks. You add your services, prices, hours, service area, policies and frequently asked questions, upload documents, or point it at your website. That content becomes the knowledge base the retrieval step searches.

This matters for two reasons. First, setup is quick: you are writing down what you already tell customers, not building conversation flows. Second, changes apply immediately. Raise a price or change your holiday hours in Frontivo.io and the next call uses the new information; there is no retraining step. Train your AI covers what to include, and the knowledge base page lists the sources it accepts.

Alongside the knowledge base, you set the receptionist's behaviour: its name and greeting, the qualifying questions, the escalation rules for when to get a person, and the calendar to book on. That is the whole "training".

Why doesn't a good AI receptionist make things up?

Because it is built to answer only from your knowledge base and to admit when the answer is not there. Language models can produce confident text about anything, which is a risk for a receptionist. The safeguard is retrieval plus one rule: if no relevant fact is found, say so and offer a person.

That is how Frontivo.io behaves. When a caller asks something the knowledge base does not cover, the AI says it does not have that information, offers to take a message or connect them, and saves the question as a knowledge gap in your dashboard. You add the answer, and the next caller gets it. The same rule applies to appointments: the AI checks the live calendar before it offers a slot.

A quick test for any AI receptionist: ask it something the business could not possibly have answered. A good one declines gracefully; a poor one guesses.

How does it book appointments, capture leads and hand off?

The reply step is not only about words. At each turn the language model can choose an action, and the software carries it out against real systems.

  • Booking. The AI asks what the caller needs and when, checks the connected calendar (Frontivo.io's built-in calendar, Google Calendar or Outlook Calendar), offers only genuinely open times in your time zone, reads the details back and creates the appointment. Reschedules and cancellations sync both ways. See appointment booking.
  • Lead capture. The AI collects name, phone or email, the service requested, timing, urgency and location, and saves them as a lead with the transcript attached. See lead qualification.
  • Handoff. If the caller asks for a person, or an escalation rule matches (anger, a billing or legal question, an emergency, or a rule you wrote), the AI hands over: a live call transfer with a short whisper, or a detailed message with an instant alert by email, text or desktop notification. See human handoff.
  • Recommendations. When a caller asks what you offer, the AI can recommend the right service or product and capture the buyer as a lead for your team to close. It does not take payments.

What happens after the conversation?

Every conversation is written up automatically. The full transcript and a short AI summary appear in the unified inbox, with the lead and any appointment linked, so you can skim what happened in seconds rather than listening back. Frontivo.io transcribes every call; audio is recorded only if the business turns call recording on, and recorded calls start with a notice.

From the inbox your team can reply to a chat or text themselves, take over a conversation from the AI and hand it back later, and see the questions the AI could not answer; see inbox takeover and summaries. On Starter and Growth, the same data feeds the CRM, and on Growth analytics and integrations such as HubSpot, Pipedrive and GoHighLevel lead sync, Zapier and team alerts in Slack.

How do phone and chat or messaging flows differ?

The middle of the pipeline is the same on every channel; only the ends change. On the phone, speech recognition and text-to-speech wrap the conversation, and timing matters, because a pause of more than a second or two feels awkward to a caller. On website chat, SMS, WhatsApp, Instagram DM, Facebook Messenger and email, the customer's text goes straight to retrieval and the model, and the reply comes back as text, so the speech steps are skipped.

A few practical differences are worth knowing:

  • Pace. Phone conversations happen in real time and end when the caller hangs up. Messaging conversations can pause for hours and pick up where they left off, so the AI keeps the context.
  • Input. A website widget can accept typed text or voice; Frontivo.io's widget transcribes spoken questions on the server, so it works in any browser. See website chat widget.
  • Handoff. On the phone, handoff means a transfer or a message. In chat and messaging, a team member can take over the thread from the inbox and type the next reply.
  • Cost units. Phone use is measured in minutes, chat and social in conversations, SMS in replies. The cost guide explains how these add up.

Because the knowledge base, booking and handoff are shared, a customer gets the same answer whether they call, chat or message, and the whole history sits in one inbox. Once the middle is set up well, every channel benefits. The setup itself is covered in How to set up an AI receptionist.

FAQ

Frequently asked questions

Short, direct answers to the questions people ask about this topic.

  1. No. It needs the audio only for the moment it is turning speech into text. Frontivo.io transcribes every call and writes a summary; call recordings are off unless the business turns them on, recorded calls start with a notice, and recordings are kept for 90 days.
