What is an AI answering service? How it works, what it costs and how to choose one

9 min readBy the Frontivo.io team

An AI answering service is software that answers your business calls, and often chats and texts too, with a conversational AI instead of voicemail, a phone menu or a human operator. It holds a two-way conversation, answers from your own information, books appointments, takes messages and transfers calls that need a person. The AI answering services compared on this site start at $29 to $150 a month (Dialzara to Smith.ai AI Pro; Smith.ai also lists a free 25-call plan), and the two human answering services compared here (Ruby and Smith.ai) start at $250-$300; Synthflow is free to build on, with pay-as-you-go usage, and lists enterprise contracts from $30,000 a year (vendor sites checked 2026-09-28; prices change). Frontivo.io starts at $199/month for phone only and $299/month with website chat and text.

What is an AI answering service?

An AI answering service is software that answers your business phone line with a conversational AI voice instead of voicemail, a press-1 menu or a human operator. It understands what the caller says, replies in natural speech, answers questions from your own information (services, prices, hours, policies), takes the caller's details, books appointments on your calendar, and transfers the call or takes a message when a person is needed.

"AI answering service" and "AI receptionist" name the same kind of product. "Answering service" is the phone-first name, borrowed from the human services that pick up calls for a business; "AI receptionist" is more often used when the same AI also answers website chat, texts and messaging apps. "AI call answering service" and "AI phone answering service" mean the same thing. The wider definition is in What is an AI receptionist?

Frontivo.io is the example used in this guide. Frontivo.io's AI phone answering service answers your business line around the clock, and on the Starter plan the same AI also answers website chat and voice and text messages, from one knowledge base into one inbox.

AI answering service vs IVR, live answering service and AI receptionist

It is not a phone menu. An older "automated phone answering service" usually means an IVR (interactive voice response) system or auto attendant: a recorded greeting that asks callers to press or say a number and routes them to an extension or voicemail. It cannot answer a question nobody recorded, or book anything. The AI holds a real conversation: the caller says what they need in their own words, and the AI answers, asks follow-up questions and acts.

A live answering service is a team of human operators who pick up your calls, follow your script and take messages, billed by the minute or the call plus a base fee. An AI receptionist is an AI answering service extended beyond the phone.

Is it just a phone menu? No. There are no keypad options. The caller talks normally, and the AI answers from your information, books, takes a message or puts the call through to a person.

Will a person ever answer? With Frontivo.io, only your own team: it has no human operators. When a caller asks for a person, or one of your escalation rules matches (an emergency, an angry caller, a billing or legal question), it transfers the call live to your team's number; if nobody picks up, it takes a detailed message and alerts you. If you want trained operators on the line, a live answering service such as Ruby or Smith.ai's human receptionists is a better fit.

How does an AI answering service work?

It listens, looks up the answer in your own information, replies out loud, then books, transfers or takes a message and records what happened. With Frontivo.io, a call goes through six steps.

  1. 1You forward your line. The service gives you a phone number, local in your country where available, and you forward your business line to it. Customers keep calling the number they already know.
  2. 2It answers with your greeting, in the voice you chose. Frontivo.io includes two receptionist voices, female and male; you name them, write the greeting and pick one for calls.
  3. 3It listens and replies in natural speech. Real-time speech recognition turns the caller's words into text, and the AI answers in a natural voice, in the caller's language.
  4. 4It checks your knowledge base before every reply. It answers only from your services, prices, hours, policies and FAQs. If the answer is missing, it says so and offers a person instead of guessing, and saves the question so you can add the information.
  5. 5It books into real open times. It checks your calendar (built-in, Google Calendar or Outlook Calendar), books the slot and reads the details back.
  6. 6It transfers the call or takes a detailed message. When a caller asks for a person or a rule matches, it transfers live to your team or takes a message and alerts you. The transcript and a short summary then land in your inbox.

The longer walkthrough is in How AI receptionists work.

What can it do, and what can't it do?

It handles the routine calls that fill a front desk's day: questions, bookings, messages and transfers. Frontivo.io, for example, answers around the clock, takes several calls at once, qualifies new callers and texts back a caller whose call could not be answered. It does not replace a person where a judgement call is needed on the spot. Here is what Frontivo.io does not do today:

  • It is AI, not live operators. There are no human receptionists behind it; it hands off to your own team.
  • No HIPAA business associate agreements. Frontivo.io does not sign BAAs.
  • No payments. It does not take card payments; it can share your own secure payment link instead.
  • No cold calling or call campaigns. The only calls it makes are to people who contacted you first: it can call back missed callers and call new website leads who said yes to a quick call, if you turn that on.
  • Texting starts after carrier approval. Website chat works from day one; calls start once your number is connected after you subscribe; texting switches on after carrier approval where your number needs it (every US business number does).
  • One number and one location per account today. Several locations? Talk to us.
  • WhatsApp, Instagram and Messenger come with Growth, or on their own with WhatsApp Only, Instagram Only or Messenger Only. WhatsApp, Instagram and Messenger open soon, once Meta's approval is through: reserve WhatsApp Only, Instagram Only, Messenger Only or Growth at no charge.

How much does an AI answering service cost?

Among the AI answering services compared on this site, paid entry plans run from $29 to $150 a month, and the two human answering services compared here (Ruby and Smith.ai) start at $250 to $300 (vendor pricing pages checked 2026-09-28; prices change). Frontivo.io's Phone Only plan is $199/month and Starter, which adds website chat and text, is $299/month, with extra voice minutes at $0.35 each or a pause at your allowance if you prefer.

For each AI vendor's plan and how to estimate your own month, see How much does an AI receptionist cost?; for human services, see virtual receptionist pricing.

What to look for before you buy

Choose a service that answers where your customers already reach you and finishes the job on the call. Eight checks:

  • The channels your customers use. If customers also chat on your website or text you, one service for all of them keeps each conversation in one place.
  • Booking into real open times, not just a booking link. The AI should confirm a time from your actual calendar on the call.
  • Answers only from your own information. It should say when it doesn't know rather than guess a price or a policy.
  • Live transfer to your team. A caller who needs a person should go straight through to your number.
  • Flat pricing with a published overage rate and a cap. You should know what an extra minute costs and how high a busy month can go.
  • A trial that needs no card. Test it on the questions you get each week.
  • A local number in your country, where available. Outside the US, check that the vendor supports your country at all.
  • It says it is an AI when asked. A trustworthy service never claims to be human.

On Frontivo.io: phone, chat and text on Starter; booking on its own calendar or Google or Outlook Calendar; answers from your knowledge base only; live transfer on Phone Only, Starter and Growth; published overage with a pause option; a 14-day trial with no card; local numbers in 40+ countries; and a greeting that says it is an AI by default.

Which businesses use an AI phone answering service?

It suits small businesses whose calls turn into jobs or appointments and whose people are too busy doing the work to pick up: trades and home services, clinics, professional offices and salons. Frontivo.io has a page for each with a sample conversation and setup notes.

How do you set up AI call answering?

Setting it up is mostly writing down what you already tell callers. With Frontivo.io it takes four short steps.

  1. 1Start the free trial. Sign up for the 14-day free trial; no card is needed.
  2. 2Add your information. Enter your services, prices, hours, service area and FAQs, or upload documents and point it at your website. Set the questions it asks and when it transfers a call.
  3. 3Connect your calendar and test. Connect the built-in calendar, Google Calendar or Outlook Calendar, then talk to it by voice in your browser to test it. Website chat can be live in about 15 minutes.
  4. 4Subscribe and forward your line. The phone number is connected after you subscribe (in the US, Canada, Puerto Rico and a few other countries it is connected in seconds; most other countries, including the UK, Australia, Germany and the Philippines, need business documents first, which takes 1-3 business days; in some countries you confirm a monthly local-number fee on the card first; and where no local number is offered you get a US (+1) number in seconds); then you forward your business line to it.
