Your AI receptionist

Check room and rental availability (iCal)

Takes 5 minutesYou need: Owner, co-owner or admin access, and access to your listings' calendar settings

Add the calendar link of each room or unit you rent out and your AI receptionist can answer "Do you have anything free on these dates?" on every channel, day or night. It works on every plan, including the free trial.

What your AI can do

  • Check whether a room or unit is open for every night of a guest's stay, and say which nights are taken when it isn't.
  • Suggest another room or unit, or other dates, when theirs are booked.
  • Then share your booking link, or take a reservation request (dates, guests, contact details) for you to confirm.
  • Never book, hold, change or cancel a stay, quote a rate you didn't write down, or say who is staying.

Calendars are refreshed by each site every few hours, so your AI says dates "look open" and never confirms a stay. You or your booking page confirm it.

Copy each calendar link

  • Airbnb (on a computer): open Calendar, pick the listing, open Availability, then under Connect calendars choose to export the Airbnb calendar and copy the link.
  • Vrbo: open Calendar, then Import & export > Export calendar > Copy URL.
  • Booking.com extranet: Rates & Availability (or Calendar & Pricing) > Sync calendars > Add calendar connection, skip the import step, then Export calendar and copy the link. Each room type has its own link.
  • Property management systems and channel managers (Hostaway, Guesty, Lodgify, OwnerRez and others): look for Export calendar, iCal or Calendar sync. Use these when you have them - they hold the bookings from every site.

Add them to Frontivo.io

  1. 1Open the Integrations page in your dashboard.
  2. 2Click Calendar in the list on the left, then the Room & rental calendars tile.
  3. 3Type a name guests would use for the room or unit (like Garden Suite) and paste its calendar link.
  4. 4Click Add another room or unit for each one, then click Save.

Frontivo.io opens each link once to check it's a calendar, then the card shows Saved. Your AI can check dates right away. To test it, open Channel tester and ask about dates you know are free, then dates you know are booked.

Good to know

  • It works best when each room or unit has its own calendar: B&Bs, guesthouses, cabins and vacation rentals. Hotels with many rooms of the same type keep sharing their booking link.
  • The links work like passwords, so Frontivo.io stores them encrypted and never shows them again. Only the dates are read - not guest names, messages or rates.
  • Your AI never shares door, lockbox or keypad codes, even if they're in your information. Send check-in details to booked guests yourself.

Troubleshooting

"That link opens a web page, not a calendar"

You copied the listing page. Use the Export calendar (iCal) link, which usually ends in .ics.

"That calendar link no longer works"

Some sites give a new link when you reset or reconnect the calendar. Copy a fresh export link and save it again.

A booking from another site isn't seen

Each calendar only has its own site's bookings. Use your property software's export link, or make sure your sites import each other's calendars.

FAQ

Common questions

Straight answers to the questions we hear most about this step.

  1. No. It checks dates and then shares your booking link, or takes a reservation request for you to confirm. Nothing is ever booked or blocked on your calendars.
