What you can be alerted about
You tick which alerts you want for each app:
- New lead: someone left their details.
- New booking: an appointment was booked.
- Booking cancelled: an appointment was cancelled.
- Someone needs a person: your AI handed a conversation to your team.
- A customer is waiting for your team: a customer wrote again on a conversation your team is handling (at most once every 30 minutes per conversation), or nobody has answered them yet (one reminder, see Get reminded if nobody answers).
- Phone call ended: every finished call, with its summary. It's off at first, because it can be a lot of messages.
Alerts include your customers' names and contact details, so pick a channel only your team can see. Test conversations from the Channel tester never send alerts.
To start, open Integrations in your dashboard and click Team alerts in the list on the left. Click your app's tile (Slack, Microsoft Teams, Google Chat, Discord or Telegram) to open its card, then follow the steps for your app below.
Slack
You need to be allowed to add apps to your Slack workspace. Some workspaces need an admin to approve new apps.
- 1Go to api.slack.com/apps and sign in to your Slack workspace.
- 2Click Create New App, then From scratch.
- 3Type Frontivo.io alerts as the App Name, choose your workspace, and click Create App.
- 4In the menu on the left, click Incoming Webhooks.
- 5Switch Activate Incoming Webhooks to On.
- 6Scroll down and click Add New Webhook (on some screens it's called Add New Webhook to Workspace).
- 7Choose the channel for the alerts and click Allow.
- 8Click Copy next to the new address. It starts with https://hooks.slack.com/services/.
- 9In Frontivo.io, paste it into Webhook address on the Slack card, tick the alerts you want, and click Connect Slack.
- 10Click Send test alert.
Microsoft Teams
You need a Microsoft 365 work or school account with Teams, and the Workflows app (most organizations allow it).
- 1In Teams, go to the channel where alerts should appear.
- 2Click ... (More options) next to the channel name, then click Workflows.
- 3Search for webhook and click the template Send webhook alerts to a channel.
- 4Type Frontivo.io alerts as the name, check you're signed in, and click Next.
- 5Check the Team and Channel are the right ones, then click Add workflow.
- 6When Teams says the workflow was added, click Copy next to the webhook address, then click Done.
- 7In Frontivo.io, paste it into Webhook address on the Microsoft Teams card, tick the alerts you want, and click Connect Microsoft Teams.
- 8Click Send test alert. It can take up to a minute to show.
Google Chat
You need a Google Workspace (business) account. Personal @gmail.com accounts can't add webhooks. Use a space, not a one-to-one chat (in Chat, click New chat > Create a space).
- 1Open chat.google.com (or Chat inside Gmail) and go to the space for the alerts.
- 2Click the space name at the top, then click Apps & integrations.
- 3Click Add webhooks (if you see Manage webhooks, click that).
- 4Type Frontivo.io alerts as the Name, leave Avatar URL empty, and click Save.
- 5Next to the new webhook, click More (three dots), then Copy link.
- 6In Frontivo.io, paste it into Webhook address on the Google Chat card, tick the alerts you want, and click Connect Google Chat.
- 7Click Send test alert.
Discord
You need to be a server owner or admin, or have the Manage Webhooks permission.
- 1In Discord, hover over the channel for the alerts and click the gear icon (Edit Channel).
- 2Click Integrations, then Webhooks (the first time, the button is called Create Webhook).
- 3Click New Webhook.
- 4Click the new webhook, change its name to Frontivo.io, and check the Channel is right.
- 5Click Copy Webhook URL, then Save Changes if Discord shows it.
- 6In Frontivo.io, paste it into Webhook address on the Discord card, tick the alerts you want, and click Connect Discord.
- 7Click Send test alert.
Frontivo.io never pings @everyone or @here.
Telegram
You create your own Telegram bot (a small helper account) in about 2 minutes. Alerts can go to your team's group, or just to you.
- 1In Telegram, search for @BotFather (it has a blue check mark) and open it.
- 2Tap Start, then send /newbot.
- 3Send a name for your bot, for example Cruz Plumbing alerts.
- 4Send a username that ends in bot, for example cruzplumbing_alerts_bot.
- 5Copy the token BotFather sends you, under Use this token to access the HTTP API.
- 6Open your team's group, tap the group name, tap Add members, search for your bot's username and add it. (For alerts just to you: open your bot and tap Start.)
- 7Send /start in the group so your bot sees it.
- 8In Frontivo.io, paste the token into Bot token on the Telegram card and click Find my chat.
- 9Choose your group from the list, tick the alerts you want, and click Connect Telegram.
- 10Click Send test alert.
Check it's working
The card shows Connected. After you click Send test alert, the message "This is a test from Frontivo.io - alerts are working" appears in your chat.
Disconnect
Click Disconnect on the card. Frontivo.io deletes the saved address or bot token straight away. You can also remove the webhook, workflow or bot in the app itself.
Troubleshooting
It says the address doesn't look right
Copy it again with the app's own copy button and paste the whole thing. Slack addresses start with https://hooks.slack.com/services/, Discord ones with https://discord.com/api/webhooks/, and Google Chat links end with key=... and token=....
Slack asks for an admin's approval
Your workspace only lets admins add apps. Ask your Slack admin to approve Frontivo.io alerts, then go back to Incoming Webhooks and click Add New Webhook.
I can't find "Incoming Webhook" in Microsoft Teams
Microsoft retired it. Use the Workflows app and the Send webhook alerts to a channel template. If Workflows is missing, ask your IT admin to allow it.
Google Chat has no Apps & integrations or Add webhooks
Use a space (not a one-to-one chat) in a Google Workspace account. If it's still missing, your admin may have turned webhooks off.
Telegram's Find my chat says no chats were found
Check the bot is in your group, send /start in the group, wait a few seconds and click Find my chat again. Telegram only remembers the last 24 hours.
The card says Needs attention
The webhook, workflow or bot was removed, or the channel was archived. Create a new one, then click Paste new address (or Reconnect for Telegram) on the card.
